Want to add a nice looking signature line to your emails sent from Outlook 2016 for Mac? Read the step by step below and you will be done in a jiffy.

Before you start, it’s important to understand that the elements (graphics) on your signature line should not be part of your email body (like an attachment). We strongly suggest for these elements to be stored in a content management or delivery service. A common example would be a location within your public web-site. This will keep your email file size as small as possible, since it will not send the signature elements as email attachments.

Here’s how you do it:

1. Open the HTML file in Google Chrome or Firefox. Do not use Safari as it may cause formatting issues.
2. When the Email Signature is open in the web browser, click anywhere within the page.
3. Press Command + A to highlight the entire signature.
   • Do not use your mouse to select the area, only use Command + A
4. Press Command + C to copy the signature.
5. Open Outlook for Mac and from the top menu, click on:
   • Outlook > Preferences > Signatures
6. Click on the + icon to add a new signature.
7. Provide your signature with a name, on the “Signature Name” field.
8. Right click the new signature body, select Paste and select keep source formatting.
9. Close the window.

Which installation option should I choose?

Signature Installer App for macOS (Recommended)

If you have a unique signature key then you will want to install your email signature via our installer app. The installation is simple and means you won't have to manually install the signature yourself.

The bonus of using the signature installer app is that it features auto-update functionality and will automatically update your signature in your email client whenever changes are made to it via Email Signature Rescue, preventing the need to re-install.

Basic Guide

If you have a html signature file then you may be able to follow the Basic Guide (Copy & Paste).

These instructions will only work for more recent versions of Outlook for Mac 2016 as in the past it hadn't been possible to directly install a signature into the email client.

The Basic Guide is a simple installation which requires opening your email signature in your web browser (excluding Safari) and pasting it into your Outlook for Mac 2016 email client with the source formatting.

Installing your email signature via the app

Step One

Open the Email Signature Rescue Installer app and click the ( + ) button to add a new signature.

Step Three

Select the email account you want to install your email signature into.

Step Four

Paste your email signature key. If you have HTML file instead of a key, click Use File, then click and select your saved HTML email signature file.

Select to insert for replies/forwards if you would like, then click Install Signature.

Step Six

The app will install your email signature into your email client for you, and automatically update it if changes are made to it by the Email Signature Rescue account holder.

Step One

Open your email signature in Google Chrome or Mozilla Firefox.

If you're logged into your Email Signature Rescue account then you can view your email signature in Full Screen Preview.

Use only the Google Chrome or Mozilla Firefox web browser. Do not use the Safari web browser to copy your email signature from as there is a bug in Safari that will cause your images to stack vertically.

Step Two

Switch to Outlook for Mac 2016 and from your toolbar, select Outlook > Preferences.

Step Three

From your Outlook Preferences window, select Signatures.

With your Signatures window open, go ahead and create a new signature by clicking the + icon.

Step Five

Enter a name for your email signature, then delete the text below and press Cmd + V to paste your copied email signature.

Once your email signature has been pasted, you should see a clipboard icon at the bottom right of it, you may need to hover over the signature for it to appear. Click the clipboard and select Keep Source Formatting. This will ensure that your email signature uses our code and doesn't re-format back to using Outlook's code.

Step Six

Close out of the window and click Save Changes. Then set your new email signature as your default in the bottom of the Signatures window.

Congratulations! Your email signature is now installed and ready to use!
